Bhopal, Oct 8 (NationPress) The innovative transformation of the 'revenue record room' by Jabalpur district administration was a highlight on the second day of the Collector Commissioner Conference in Bhopal on Wednesday, earning commendations from various officials.
Deepak Saxena, the Commissioner of Public Relations (DPR), who initiated the renovation of Jabalpur Revenue Archive during his tenure as district collector, presented this initiative through a captivating short film.
In his presentation, Saxena elaborated that the revamped Jabalpur revenue archive now resembles a modern bank locker room in terms of its aesthetic and organization. He noted that this innovation has greatly enhanced public access to revenue records, completely revolutionizing their experience.
"This initiative has liberated both the public and archive personnel from the previously unsanitary and chaotic conditions, significantly minimizing the effort needed to locate specific records," Saxena stated.
He added that the archive safeguards revenue records of generational importance for families, which are now not only securely archived but also easily traceable with full transparency.
He pointed out that a newly developed digital portal allows users to pinpoint records with just a few entries, identifying the exact rack, shelf, box, and file number. Applicants can obtain this information from the comfort of their homes or through a kiosk installed outside the record room.
Commissioner Saxena remarked that the state’s revenue record rooms generally share a similar plight—overcrowded and disorganized, with information on file locations accessible only to a select few clerks or assistants.
"This situation made it exceedingly challenging for citizens to retrieve even their own records. To tackle this issue, the record room in Jabalpur underwent a significant renovation and modernization. Old iron racks were meticulously repaired and repainted, and traditional cloth bundles were substituted with durable plastic boxes," he explained.
Every case file was individually secured in plastic sleeves before being organized into labeled plastic boxes.
Color-coded stickers were implemented for tehsil-wise classification, while each box was labeled with year-wise and category-wise details. Every rack, shelf, plastic box, and file received a unique location code. These codes were affixed as stickers on boxes and files.
An online application was created to compile all location-related information, allowing users to effortlessly access case file data. This advancement in governance has made the retrieval of revenue records more straightforward, quicker, and more transparent for both citizens and officials alike.
